In order to verify member eligibility, Firehouse Flyer collects accurate, complete, and up-to-date verification information and documentation, which may include firefighter identification cards, department-issued email addresses, dates of hire and retirement, fire department rank, department address, human resources email address, driver’s licenses (including spouse driver’s license, if applicable), and pension statements. By providing this information, members authorize Firehouse Flyer to retain such data in accordance with this Privacy Policy and to contact the relevant fire department or authority for verification purposes.

  • Account Information: Name, email, password, membership details, and billing data.
  • Verification Information: Firefighter or retiree ID, government-issued ID, spouse ID, department
    email, or pension documentation.
  • Transaction Information: Membership payments and billing records.
  • Listing & Community Information: Property listings, posts, and messages.
  • Technical Data: IP address, browser type, and device identifiers.

3. How We Use Information

We use your data to:

  • Verify eligibility and maintain member trust
  • Prevent fraud and enforce community integrity
  • Manage billing, renewals, and member accounts
  • Comply with legal and regulatory obligations
  • Maintain historical audit trails for dispute resolution

We do not sell or lease your personal data to advertisers.

4. Retention of Verification Data

Firehouse Flyer retains verification-related PII for as long as the member account remains active and for up to 7 years after closure when necessary for:

  • Verification audits
  • Legal compliance
  • Dispute resolution

After the 7-year retention period, data is securely deleted or anonymized in accordance with best practices and applicable regulations.

5. Data Security

  • All data is encrypted in transit and at rest.
  • PII is stored on Firehouse Flyer’s secure AWS-managed infrastructure.
  • Access is restricted to senior administrative and compliance personnel only.
  • Access logs are maintained for accountability.

6. Sharing of Information

We share personal data only with:

  • Payment processors (e.g., Stripe) for billing
  • Authorized verification service providers, under confidentiality agreements
  • Legal authorities, if required by law or to protect member safety

We do not share PII with advertisers.

7. Member Responsibilities

Members must not upload highly sensitive information (e.g., SSNs, medical records) to public areas such as listings or forums. Sensitive documents are limited to verification purposes only.

 

8. Member Rights

Members may request:

  • Confirmation of stored data
  • Access to their verification record
  • Deletion after the retention period if no dispute or legal requirement exists

Firehouse Flyer will acknowledge and respond to valid requests within 30–45 days, consistent with industry standards and privacy law best practices (GDPR Articles 15–17, CCPA §1798.100–105). Requests can be submitted via the contact details below.

9. Legal Basis for Processing

Firehouse Flyer processes verification data under the lawful bases of legitimate interest (community integrity, fraud prevention) and legal obligation (compliance and recordkeeping).
